Job Purpose: The People Operations Specialist is responsible for providing comprehensive administrative support to the HR department, ensuring the efficient and smooth operation of all HR-related functions, including record-keeping, data entry, and the maintenance of HR systems and processes. This role is tasked with enhancing the employee journey by efficiently managing HR-related systems and processes, and by providing high-quality support to foster a positive and productive workplace environment.
Duties & Responsibilities:
Systems, Compliance and Operations
- Maintains HR systems and databases and workflows within the systems.
- Manage and maintain employee records, including personal data, payroll information, and employment contracts, ensuring accuracy and confidentiality.
- Responsible for maintaining the company intranet and HRIS ensuring that they are continually updated and accurate.
- Assist with the tracking and coordination of disability, FMLA and parental leave.
HR Administration
- Manage the HR virtual inbox
- Respond to employee inquiries regarding HR policies, procedures, and benefits, providing timely and accurate information
- Process and file all necessary paperwork/forms as it relates to onboarding (including I9s, benefits enrollment, etc) and offboarding
- Ensure time off requests are entered into our HRIS system properly and in a timely manner
- Manage contract templates and consultant approval process
- Record all employee changes (manager, title or department changes, pay rises, promotions, terminations) in HRIS from the Lifecycle Tracker
Payroll and Benefits
- Manage Regional benefits administration
- Provide Regional payroll processing support for Accounting
- Liaise with Finance to ensure payroll trackers are updated to ensure any necessary adjustments are captured
Employee Engagement and Culture
- Plan and coordinate all employee events and activities aligned around TS global values and annual and quarterly company and departmental goals.
- Assist with employment branding initiatives to retain and attract top talent
- Be one of the strongest culture contributors and a constant motivator for employees
- Participate in Diversity, Equity, and Inclusion initiatives
- Design, implement and support initiatives to drive employee engagement and foster a positive work environment.
- Work with the central HR team to develop strategies to improve employee satisfaction and retention.
- Lead Employee Resource Groups and Culture Club globally.
Qualifications & Attributes:
- Bachelor's degree in Human Resources, Business Administration, or a related field or proven experience in an HR administrative role, People Operations, or a similar position.
- Strong working knowledge of HR functions and best practices.
- Proficiency with HRIS and other HR-related software and systems.
- Possess a proactive, self-sufficient approach with a natural inclination towards problem-solving.
- Demonstrated ability to model and reinforce our company values.
- Excellent organizational and time-management abilities.
- Strong interpersonal and communication skills, both written and verbal.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Familiarity with labor laws and employment regulations.
- Detail-oriented with a high degree of accuracy and ability to multitask.
- Experience with a remote, hybrid work culture
- Cross-Cultural Awareness: Ability to understand and bridge cultural differences, fostering productive communication
- Experience with Google Suite
Ideal Extras:
- Experience with HiBob or ability to quickly master any HRIS.
- Experience with DiSC.
- Certification in Human Resources (e.g., SHRM-CP, PHR) is desirable but not mandatory.
Availability: This role requires two-three days in the office.
